1. Who we are

Structura Engineering Inspections is a trading name of Guardian Engineering & Design Hub Pty Ltd (ABN 71 673 368 502) (“Structura”, “we”, “us”, “our”). We provide structural engineering inspection and reporting services in Melbourne, Geelong and regional Victoria.

This Privacy Policy explains how we collect, use, store, disclose and protect personal information, and how you can access, correct or complain about our handling of it. We are committed to protecting personal information and, where applicable, handling it in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What personal information we collect

We collect only the information we reasonably need to quote for, deliver and support our services. This typically includes:

• Contact details — your name, email address and phone number.
• Property details — the address or suburb of the property to be inspected, and your description of the issue or the service you require.
• Documents and images you provide — photographs, plans, building permits, previous reports, correspondence or other files you choose to upload or send us.
• Engagement information — records of our communications with you, quotes, invoices, inspection notes and the reports we prepare.
• Referral source — how you heard about us, where you tell us.
• Website usage information — see section 8 below.

We do not seek sensitive information (such as health, racial or political information) and ask that you do not send it to us. If you send us information about another person — for example a tenant, a neighbour, a builder or a party to a dispute — you should only do so where you are entitled to, and where practical you should make that person aware that their information has been given to us.

3. How we collect it

We usually collect personal information directly from you: through the enquiry and booking forms on this website, by telephone, by email, or in person at an inspection. We may also collect information from third parties where you have asked or authorised them to deal with us on your behalf — for example your conveyancer, solicitor, buyer’s advocate, property manager, builder or insurer.

4. Why we collect and use it

We collect, hold and use personal information to:

• respond to your enquiry and prepare a quote;
• schedule, carry out and document an inspection;
• prepare, issue and explain engineering reports, certificates and related documentation;
• communicate with you and with any third party you have authorised;
• issue invoices, collect payment and maintain our accounting records;
• maintain professional records required by our insurers and by our professional obligations as registered engineers;
• respond to complaints, disputes, subpoenas or legal proceedings; and
• improve our services and our website.

We will not use your personal information for a materially different purpose without your consent, unless we are required or authorised by law to do so.

5. Direct marketing

We may occasionally contact you about services related to work we have carried out for you. Every marketing message will include a simple way to opt out, and you can opt out at any time by emailing admin@structuraeng.com.au. We do not sell, rent or trade personal information to third parties for their marketing purposes.

6. Who we disclose it to

We may disclose personal information to:

• our employees, contracted engineers and administrative staff, on a need-to-know basis;
• third parties you have authorised or directed us to deal with;
• our professional indemnity insurers, legal advisers and accountants;
• service providers who support our business — including website hosting, email, cloud storage, document management and accounting providers — under obligations of confidentiality;
• courts, tribunals (including VCAT), regulators or other parties where we are required or authorised by law, or where disclosure is reasonably necessary in connection with legal proceedings.

Where a report is prepared for use in a dispute or proceeding, you should assume that the report and the information underlying it may become available to other parties to that dispute.

7. Overseas disclosure

Some of our service providers — in particular cloud hosting, email and storage providers — may store data on servers located outside Australia, including in the United States and the European Union. Where this occurs we take reasonable steps to ensure those providers handle personal information in a manner consistent with the Australian Privacy Principles.

8. Our website, cookies and analytics

When you visit this website our hosting provider records standard technical information such as your IP address, browser type, the pages you visit and the time of your visit. We use cookies and analytics tools to understand how the site is used and to improve it. Most browsers allow you to refuse or delete cookies; doing so may affect how parts of this site function.

This site may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their privacy policies.

9. Security and retention

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include access controls, secure hosting and confidentiality obligations on our staff and contractors. No method of transmission or storage is completely secure, and we cannot guarantee absolute security of information transmitted to us over the internet.

We retain inspection records, reports and related correspondence for as long as we are required to for professional, insurance, taxation and legal purposes. Where information is no longer needed and we are not required to retain it, we take reasonable steps to destroy or de-identify it.

If we become aware of a data breach that is likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

10. Accessing and correcting your information

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Please make your request in writing to admin@structuraeng.com.au. We will respond within a reasonable period, normally within 30 days. We may need to verify your identity before releasing information. In limited circumstances we may decline a request — for example where it would unreasonably affect another person’s privacy, or where the information is subject to legal professional privilege or relates to anticipated legal proceedings — and if we do, we will tell you why in writing.

11. Complaints

If you believe we have mishandled your personal information, please contact us first at admin@structuraeng.com.au or on 1800 674 185. We will acknowledge your complaint and aim to resolve it promptly. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

12. Changes to this policy

We may update this Privacy Policy from time to time. The current version will always be published on this page with the date it was last updated.
